AI that works beyond the pilot.

AI implementation, systems integration and managed operations for NGOs and development organizations.

Development organizations need more than AI tools and demonstrations. They need systems that work with the technology they already run, support their teams and operate under proper governance. Effibotics helps NGOs, foundations and development partners turn AI opportunities into dependable operational capability, from choosing the right use cases to implementing, integrating and running them.

A complimentary 30-minute session. Based in Nairobi, working with organizations across Africa and internationally.

The implementation gap

Most organizations are experimenting with AI. Few have it working in their operations.

In a September 2026 survey by Bridgespan and NTEN, 70% of nonprofit leaders and staff said their organizations are missing meaningful opportunities to use AI, and only 8% reported having a one- to two-year AI implementation roadmap. (Bridgespan)

Bridgespan's October 2026 guide for African nonprofits describes the journey in four stages: explore and prepare, prove and learn, embed and operate, sustain or scale. (Bridgespan) Effibotics works on the part between proving an idea and relying on it: connecting AI to real data, real systems and real accountability, then keeping it running.

  • Reporting that consumes program teams

Every donor cycle, evidence is gathered by hand from country offices, partners and spreadsheets.

  • Knowledge spread across offices

Policies, procedures and past project documents live in shared drives and inboxes that only some people know how to search.

  • Field and headquarters out of step

Information from the field arrives late, in different formats, and has to be cleaned before anyone can use it.

  • Information that needs care

Beneficiary, donor and staff data can't simply be pasted into a public AI tool.

Where we implement AI

In the work that runs your organization, and the work that reaches communities.

Most NGOs start with internal operations, where the workload is heaviest and the results are easiest to measure. The same implementation capability also applies to how programs reach people. We don't sell ready-made products for each of these; we implement the systems your situation needs.

Running the organization

  • Grants and reporting: gathering evidence, drafting reports against donor requirements, tracking what's missing
  • Organizational knowledge: policies, procedures and project history, searchable by the staff allowed to see them
  • Program operations: coordinating requests, activities and handoffs between teams and partners
  • Finance and administration: invoices, procurement and approval routing

Delivering the mission

  • Community information: answering common questions about services, eligibility and locations from approved information
  • Participant support: reminders, follow-up and status updates for people enrolled in programs
  • Field coordination: bringing field data together, checking it and routing issues to the right person
  • Multilingual services: reaching people in the languages they use, with human review where it matters

Our flagship starting point is grants, reporting and program operations: recurring work, a clear owner and a result you can measure.

AI in practice

What it looks like inside a working week.

Three illustrative workflows. Each shows the moment, what the system does, what stays with your people, and what you could measure.

Flagship: a quarterly donor report, from scattered evidence to approved submissionIllustrative

The reporting cycle opensLists the inputs the donor template needs and where each one comes fromConfirms the requirements
Country offices send updatesFiles each update against the report section it supports and matches evidence to itReviews anything flagged as missing or unclear
Finance figures are pulledRetrieves the authorized figures and flags differences from the program updatesFinance verifies the figures
Drafting beginsWrites a first-draft narrative from the collected material, citing a source for every statementThe program manager edits and corrects it
Evidence is still missingSends a specific request to the person responsible and tracks it until it arrivesStaff supply or confirm the information
The report is readyCompiles the approved content and keeps a record of every source behind itAn authorized person approves and submits
What could improve
Time spent gathering information, turnaround from cycle opening to submission, completeness of evidence, visibility of what's still outstanding.
What stays with your people
Financial verification, interpretation of results, donor compliance decisions and final approval. The system never invents a figure: if it can't find a source, it says so.

The AI operations layer

AI that works inside your organization, not beside it.

Effibotics connects the people, systems and information you already rely on. We implement workflows, AI agents, knowledge systems and integrations within your existing environment, with governance running through all of it. Your teams get help inside the tools they already use, not another disconnected system to manage.

The AI operations layer connects your people, existing systems and data to program delivery, grants and reporting, knowledge access and administration.

Responsible AI

Built for information that needs care.

NGOs hold beneficiary, donor, financial and staff information. Governance is part of the build, not a document added at the end. For every implementation we agree these requirements with you in writing:

Data protection
We map what data the system touches, where it is stored and processed, how long it is kept and how it is deleted. Data residency, sub-processors and cross-border transfers are assessed for each implementation against your obligations, such as Kenya's Data Protection Act, 2019 or GDPR.
Access
The system sees only what each user is allowed to see, using your existing permissions wherever possible.
Human approval
Your team decides which actions run automatically, which need approval and which are human-only. Eligibility, safeguarding and financial decisions stay with people.
Sources and accuracy
Answers and drafts cite their sources. Where there is no approved source, the system says so instead of guessing. Outputs are tested before go-live and sampled afterwards.
Audit trail
Important automated actions are logged: what was done, from which source and who approved it.
Reliability
Monitoring, error alerts and a fallback to the manual process if something fails.

We don't claim certifications we don't hold. The controls in your implementation are written into your proposal and checked before go-live.

Our implementation process

Start with the problem, not the tool.

  1. 01
    Review.

A complimentary 30-minute AI Implementation Review: one operational problem, where AI could help and whether it's worth pursuing.

  2. 02
    Assess.

A paid AI Operations Assessment: your workflows, systems, data readiness and risks, ending in a prioritized roadmap and a defined implementation scope.

    AI Operations Assessment →
  3. 03
    Design.

The architecture, integrations, approval rules and governance controls for the first system, agreed before any build.

  4. 04
    Deploy.

AI Operations Deployment: we build, integrate, test and launch it inside your existing systems, and train the teams who use it.

    AI Operations Deployment →
  5. 05

Every engagement is scoped to your organization. You receive a fixed proposal before any build begins.

Why Effibotics

Built to implement, not just to advise.

  • End to end

We assess, design, build, integrate, deploy and run the system. One team is accountable from the first review to the system in daily use.

  • Your systems first

We work with what you already use (Microsoft 365 or Google Workspace, your CRM, finance, grants and M&E tools) and replace nothing without a reason.

  • Accountability built in

Approvals, escalation and audit trails are designed in from the start, not bolted on after launch.

  • Measured against your baseline

We record how the work runs before we start and report what changed after go-live.

  • Nairobi-based, internationally capable

We work in person with organizations in East Africa and remotely with teams across Africa and beyond.

For implementation partners

Your AI implementation partner, from strategy to production.

Development consultancies, M&E firms, digital transformation advisers and ERP or CRM implementers already hold the client relationships. Effibotics adds the AI engineering, systems integration and ongoing operation, as a subcontractor or consortium partner, while you keep the client relationship.

  • AI and integration engineering inside your engagements
  • Technical input to proposals and bids
  • Managed operation after handover, if your client needs it
Questions

What NGOs ask before they start.

How much does it cost?

The first review is complimentary. After that, every engagement is scoped to your organization, and you receive a fixed proposal before any build begins. We can scope work to fit a program or grant budget line.

Can you work within our procurement process?

Tell us what your process requires. We provide what we can directly, or work through a partner that holds the contract.

We already have an AI pilot. Can you help?

Yes. We can assess it, connect it to your real systems and data, add the governance it needs, and run it.

Do we need a technical team?

No. We build and run the system. You need someone who owns the process and someone who approves what goes live.

Which AI models do you use?

We choose for each implementation, based on data protection, cost, language and quality, and explain the choice in your proposal.

Where is our data stored?

That is agreed for each implementation. Data location, sub-processors and retention are set out in your proposal before any build.

Can it work in local languages?

It depends on the language, the models and your material. We test quality before go-live and keep human review where quality isn't proven.

How long does implementation take?

It depends on scope. Your proposal sets out the timeline and what is delivered when.

What happens after launch?

Managed AI Operations keeps it monitored, maintained and improving, or we hand over with documentation and training.
